POSITION SUMMARY: Responsible for the performance, integrity, & security of a database. Provides planning & development of the database, as well as troubleshooting any related issues on behalf of the users. Ensures data remains consistent across the database. Provides administrative support & database management to organizational development department & program operations, except camp & childcare. Responsible for greeting visitors & delivering exceptional customer service assistance. Answers calls & fielding them, accordingly, addressing visitor questions & needs, & providing an overall welcoming environment. ESSENTIAL FUNCTIONS: Administer setup functions in Daxko for YMCA membership & program registration sessions. Generate reports for assigned areas & distribute as assigned. Audit & validate database information for accuracy & completeness. Manage assigned donor databases for organization development activities including Daxko & Greater Giving. Manage balance due/collection reports for development, membership & programs (except child care & camp). Set up all special events in Daxko for ticket purchases & manage event RSVPs as needed. Provide accurate database lists for the distribution of invitations for all events in partnership with Marketing & Communications. Manages in-person event registration at assigned events. Maintains donor gift prospect information in Daxko database & donor files. Maintains database files on local community leaders & dignitaries. Builds & maintains all campaign hierarchies in Daxko Fundraising. Process all donor transactions. Administer mailings, pledge bookings, & gift acknowledgements. Ensure planned tasks & recognition of donors are completed in a timely manner. Generate campaign & grant invoices & distribute year-end tax statements. Record & reconcile employee pledge payments within Daxko utilizing payroll deduction reports. Coordinate & schedule meetings & reserve appropriate room space. Attend appropriate Development Committee meetings. Maintain up to date committee member rosters & contact distribution lists. Prepare & distribute agendas & meeting invitations. Record & distribute minutes in a timely manner. Serve as the receptionist for the organization?s administrative offices. Answer, field, & respond to phone calls providing excellent customer service. Maintain a professional, positive customer service environment. Assist with internal print/copy needs of the organization. Receive & sort administrative staff mail. Postmark outgoing organizational mailings. Maintain records & an accurate & organized filing system. Complete projects & assignments, as necessary. Attend staff meetings & trainings. Follow all YMCA policies, rules, regulations, & procedures, including emergency & safety procedures. Complete reports, as necessary. QUALIFICATIONS: Education: Associate's of Applied Business or related field or equivalent. Experience: Two years' experience in database entry & management One year of related administrative experience. One-year previous experience managing multiple tasks effectively & efficiently.
