Program Support Office Executive Administrative Analyst Position Description

Responsibilities

  • Leads executive administration support activities for the Office of Enterprise Services Program Support Office to ensure the efficient support, tracking, flow, and completion of taskers for senior executives and managers.

  • Interfaces with Office of Enterprise Services executives and Program Support Office Director to ensure higher headquarters taskings are distributed, vetted, reviewed, and properly coordinated to achieve set suspenses. Analyzes Executive Secretariat tasks and coordinates organizational responses to taskers.

  • Schedules, coordinates, and communicates daily executive tasks for completion.

  • Organizes and maintains calendars for one or more managers as required, schedules meetings, takes meeting notes and distributes to attendees.

  • Gathers, organizes, and prioritizes incoming material for review and signature for the appropriate Executive. Compiles, reviews, and edits administrative reports, document packages and correspondences for Executive review, coordination and/or signature.

  • Prepares correspondence, briefs, and reports and assists with planning, initiation, and tracking of task assignments and associated data. Develops spreadsheets, maintains program, project, and task files, technical support information for program, project managers.

  • Distributes and monitor taskings, data calls and coordinating troubleshoot requests.

  • Prepares Executive agendas, ensures meetings run on time and records action items for Executives as requested.

  • Coordinates Microsoft Teams collaboration sessions and virtual meetings for Program Support Office-sponsored events to include the Program Managers Users Group meetings and organizational Work As One meetings.

  • Coordinates logistical arrangements for meetings, conferences, and executive travel. Assists with travel process preparation and expense accounting for senior executives. Assists with preparing and processing team member travel and maintaining travel requests and records.

Skills and Clearance Requirements:

  • A Bachelor’s Degree with seven years of relevant executive administrative experience or a Master’s Degree with five years of relevant executive administrative experience is required.

  • This position requires demonstrated initiative, sound judgment, effective decision-making, the ability to plan and organize work, and excellent oral and written communication skills.

  • Requires a detail-oriented self-starter experienced in supporting senior Government leaders and other technical/business professionals. Former military or Government Executive Administrative Assistant experience is highly desired.

  • Advanced skills in Microsoft Word, Outlook, Excel, Access, PowerPoint, Teams and SharePoint are required.

  • Superior customer interface at senior levels of management with excellent oral and written communication skills are critical.

  • A Department of Homeland Security public trust suitability determination via Background Investigation is required.

  • A Secret clearance with a favorable background investigation conducted within the last six years is desired.
