Neuberger Berman Administrative Assistant in United States
Position Overview :
We are seeking an experienced friendly, professional Administrative Assistant to join our growing London office. The role will encompass supporting the Nordic Client Coverage team. You will have experience as an Administrative Assistant with excellent secretarial and organisational skills. You will be a strong team player with exceptional interpersonal and communication skills and have the ability to demonstrate initiative, being pro-active and anticipating the needs of your client base. Diplomatic and discreet in approach, you will be able to manage a complex and demanding workload, be able to work to deadlines and have the ability to multi-task. Above all, you will need to be well-organised, capable of turning your hand to a variety of tasks and are calm under pressure whilst capable of thinking on your feet. The successful candidate will also be fluent in at least one of the following languages: Danish, Swedish, Norwegian or Icelandic.
Responsible for supporting the Nordic Client Coverage Sales team, coordinating the day-to-day business activities;
Coordinate extensive travel arrangements, locally and internationally, as well as organizing visas as required and compiling travel itineraries;
Book transport, accommodation and restaurants, as required;
Acting as a point of contact in their absence for employees and clients;
Extensive diary management and coordination of meeting and calls in several time zones, accommodating changing diaries and communicating schedules;
Processing expenses for reimbursement in accordance with Company policy;
Handling of confidential information and documentation;
Telephone cover for the department – taking messages and screening calls, where applicable;
Updating contacts in Outlook/sales database;
Preparing invoices for payment;
Printing, photocopying and scanning;
Archiving and filing of documentation/information; Any other duties as may reasonably be required;
Assisting in preparation of regular management reports;
Preparing agenda and taking notes in board meetings.
Key Requirements / Qualifications:
Fluent in at least one of the following languages: Danish, Swedish, Norwegian or Icelandic.
Solid experience, corporate maturity is essential;
Must have demonstrable experience at working confidently at pace;
Polished communication skills, both verbal and written, are essential;
Must be adept and reliable, with the ability to multi-task and prioritise;
Efficiency and accuracy is essential to the role;
Must have strong Microsoft Excel, PowerPoint, Word, and Outlook skills;
Flexible, enthusiastic, professional, driven, discreet and trustworthy are key attributes;
Previous experience working in Asset Management or Financial Services more broadly is a premium.
