The Maintenance Systems Coordinator will manage and coordinate pertinent documentation of the Maintenance Organization utilizing SAP CMMS and hard copies of information. Organize, prepare and implement planned and emergency maintenance work activities for the department. Generate and schedule maintenance work orders, track departmental objectives, and generate reports. Assist the Maintenance Manager and Supervisors. Interface with the production departments, purchasing, outside contractors, outside vendors, operating personnel, and maintenance craftsmen regularly. Coordinate efforts between production and maintenance to prepare schedules for shutdowns and to carry out the preventative maintenance programs. Prepare maintenance performance data as required for reporting. Develop, maintain, and continuously improve the program for preventive maintenance and repairs on equipment. Walk through a job and understand what skill sets, tools, equipment, and how much time will be necessary to complete a scheduled task. Perform other duties as may be assigned. Duties and Responsibilities:

  • Interfaces with the Maintenance Manager to drive details of work orders and projects.

  • Receive all work orders from the requesting departments. May make additional sketches, diagrams, etc necessary to clarify the intent of the work order.

  • Review and screen each work order to ensure it has been properly filled out:

  1. Work scope fully described

  2. Prioritize requested completion dates for realistic and practical lead times.

  3. Charge numbers and other coding are complete and accurate.

  4. Authorization is proper.

  5. Follow up on details with the originating department as appropriate.

  • Reviews with engineering those work orders requiring engineering design.

  • Examines jobs to be done and determines best way to accomplish the work. Consults with requestor or maintenance manager when necessary.

  • Obtains blueprints, drawings, instructional manuals, and special procedures as needed from files, vendors, or other sources as needed. Will make sketches or diagrams as necessary to clarify intent of the work order.

  • Ensures safety needs are given the top priority in all work planning.

  • Estimates jobs showing sequence of steps, the number of tradespersons, and required labor hours for each step. Lists determinable materials required and any special tools or equipment for pre-kitting.

  • Estimates cost of each work order in terms of direct labor, materials required, and total cost.

  • Maintains backlog files of work orders waiting scheduling in accordance with their priority limits with estimated completion date. Those unplanned, requiring engineering, waiting for materials, waiting for downtime, etc are filed accordingly.

  • Possess thorough and complete knowledge of each department’s PM workload to efficiently schedule work orders.

  • Review the current day’s schedule status and forecast of labor availability daily.

  • Develop a maintenance work schedule for the maintenance manager. From the backlog files, select a group of work orders with labor and parts requirements matching the capability of the work force considering any work carry over from previous jobs.

  • Allocate labor and coordinate those requirements through the maintenance manager.

  • Set up and attend meetings with all departments and participate in the overall plant scheduling for the following week’s work. Negotiate windows for downtime during which preventative and corrective work may be completed. Finalize schedules for the following week’s work ensuring 100 percent Labor Utilization.

  • Issue approved schedules in advance to maintenance and operation’s supervisors.

  • Follow up to ensure completed schedules and work orders are returned at the proper time. Carefully reviews completed schedules and corresponding work orders submitted by the maintenance supervisors and monitors work order progress for any necessary reports.

  • Maintain an open package of schedulable work orders which require equipment to be shut down so that some or all of them can be performed in the event of an unscheduled shutdown of that equipment.

  • Develop a file of standard work order plans for regularly recurring repair jobs to simplify the planning process.

  • Review regularly with the maintenance manager the actual labor expended versus estimated labor and material used for completed jobs, in order to determine corrective measures needed to improve the accuracy of estimating work and materials.

  • Will establish and update machine history requirements as needed.

  • Will utilize various matrixes to measure success of scheduling/planning function.

  • Must adhere to all safety policies and procedures.

  • Follows all DFA GMP’s and works in a manner consistent with all corporate and regulatory, food safety, quality and sanitation requirements.

Education and Experience

  • Associates degree or technical school preferred; with one to three years related experience and/or training; or equivalent combination of education and experience.

Necessary Knowledge, Skills and Abilities

  • Have necessary trade knowledge to be able to estimate labor hours and materials needed for job completion, as well as ability to visualize the job to be performed.

  • Must have good written/oral communication, and strong interpersonal skills.

  • Good administrative and mathematical skills with willingness to handle paperwork.

  • Must have working knowledge of computers including word processing and spreadsheets: typing skills a must.

  • Have good planning and organizational skills

  • Ability to understand what constitutes good instructions.

  • Able to read blueprints and shop drawings.

  • Must be able to make sketches.

  • Understand the proper use of work orders, priorities, scheduling, etc

  • Must have ability to establish priorities and handle multiple tasks.

  • Orientation and commitment to customer service.

  • Must be able to develop strong relationships with all employees, supervisors, and managers.

  • Must demonstrate enthusiastic attitude towards leading change and implementation of systematic processes required to achieve maintenance objectives, which directly support manufacturing excellence.
