Our facility in Littleton, CO has an immediate opportunity for an Administrative Assistant to join our mission. Reporting directly to the Operations Program Management Vice President in the Lockheed Martin Space Business Area, you will provide a full range of complex administrative work assignments. Your role will also include providing administrative support to the Directors in the Operations Program Management organization.
As our Administrative Assistant you will effectively perform the job duties as described below and exhibit the identified attributes for success:
•Sustained effective multi-tasking in a fast-paced and dynamic environment with continual conflicting priorities
•Flawless maintenance of calendars, meeting and travel arrangements
•Proficiency arranging and coordinating travel (including international) and expertise processing expenses through Concur system
•Regular professional interface with executive level leaders and customers
•Proactive partnership and coordination with Line of Business, Major Functional Organization and corporate staff
•Manage the flow and handling of confidential, sensitive and proprietary information
•Manage the logistical requirements for senior leaders visiting the sites
•Effectively interface, coordinate, and collaborate with other Space Executive Assistants
•Exhibit a highly-motivated, can-do approach
•Demonstrate initiative, discretion and tact in managing email, telephone calls and other requests
•Ensure all correspondence is accurate, complete and properly handled
•Utilize personal computer and standard desk top software (full complement of Microsoft Office Suite) to access LM systems, compose correspondence and update spreadsheets and presentation charts
•Assure administrative detail on all projects: update and status delegated tasks to ensure progress to deadlines; handle all inquiries within capacity; provide backup materials for callbacks; fix commitments to maximize time efficiency; screen visitors to control interruptions and preserve schedules; provide meeting backup data as needed and arrange all amenities for same
•Determine priorities in regards to non-routine situations
•Perform additional special assignments as required
Our employees working in this level of position typically have 5+ years of professional experience.
•5 or more years of experience supporting senior management (Director level or above)
•Experience with systems and applications such as MS Office Suite, Skype, VTC, and/or Concur (or comparable travel coordination tool) to make travel arrangements (including international), prepare expense reports, order supplies, request to visit, etc.
•Strong communication (verbal and written) and phone skills
•Bachelors degree and/or additional related education/training
•Working knowledge of Lockheed Martin (LM) policies and procedures
•Thorough knowledge of systems and applications used to make travel arrangements (including international), prepare expense reports, order supplies, request to visit, etc.
•Ability to handle a variety of assignments at one time and complete assignments accurately and on time
•Demonstrated ability to work in a team environment with other administrative assistants and staff supporting the leadership team of an organization
•Exceptional organization and coordination skills
•Comfortable working in a fast-paced environment
•Strong organizational, multi-tasking and prioritization skills
•Self-starter with strong initiative
•Ability to operate under pressure and maintain strong interpersonal skills
•Demonstration of leadership attributes to address executive’s needs, the surrounding work environment, and customer interfaces/requests
•Able to apply a systematic approach to action items and deadlines
•Demonstrated effective complete and timely communications
