FirstService Residential Office Manager in Jacksonville, Florida

POSITION SUMMARY:This position requires a strong background in office operations, computer skills and customer service, and will providestrong support to the Operations Manager and property management team.Work Schedule: Monday – Friday 8:30am – 5:00pmPOSITION RESPONSIBILITIES: Receive and direct incoming calls for the Jacksonville Corporate office. Greet visitors and clients upon their arrival. Receive, sort, and distribute all incoming mail on a daily basis. Process all outgoing mail on a daily basis. Process and tracking of all access control devices for Portfolio Properties. Process all incoming packages and prepare outgoing packages, including weekly courier deliveries. Maintain record of all outgoing and incoming courier packages. Scanning and upload of various documents. Order office and kitchen supplies. Order associate supplies including business cards, name tags, uniforms and ID badges. Schedule and maintain calendar for conference calls and meetings. Maintain professional appearance in all office common areas including but not limited to reception area,conference rooms, copier and postage work stations, hallways and break room. Build and maintain working relationship with office and field associates. Administrative Support to Portfolio CAMs Support Operations Manager in maintaining all office operations and assisting with the following:o Preparation of meetings and events.o Working with IT to coordinate updates, upgrades, repairs, etc.o Coordinating office repairs and maintenanceo Compliance trackingo Property transitions
