FirstService Residential Office Manager in Jacksonville, Florida
POSITION SUMMARY:This position requires a strong background in office operations, computer skills and customer service, and will providestrong support to the Operations Manager and property management team.Work Schedule: Monday â Friday 8:30am â 5:00pmPOSITION RESPONSIBILITIES:ï· Receive and direct incoming calls for the Jacksonville Corporate office.ï· Greet visitors and clients upon their arrival.ï· Receive, sort, and distribute all incoming mail on a daily basis.ï· Process all outgoing mail on a daily basis.ï· Process and tracking of all access control devices for Portfolio Properties.ï· Process all incoming packages and prepare outgoing packages, including weekly courier deliveries.ï· Maintain record of all outgoing and incoming courier packages.ï· Scanning and upload of various documents.ï· Order office and kitchen supplies.ï· Order associate supplies including business cards, name tags, uniforms and ID badges.ï· Schedule and maintain calendar for conference calls and meetings.ï· Maintain professional appearance in all office common areas including but not limited to reception area,conference rooms, copier and postage work stations, hallways and break room.ï· Build and maintain working relationship with office and field associates.ï· Administrative Support to Portfolio CAMsï· Support Operations Manager in maintaining all office operations and assisting with the following:o Preparation of meetings and events.o Working with IT to coordinate updates, upgrades, repairs, etc.o Coordinating office repairs and maintenanceo Compliance trackingo Property transitions
